in Cobh. CYS provides a range of services for children and young

well-being programmes, activities and supports.
Cobh Youth Services Limited (CYS) is recruiting an experienced part
time Accounts & Admin support person to join the team. The successful
candidate will work closely with the Manager and will be responsible
for the day to day running of the office and the accounts functions.
RESPONSIBILITIES:
* Bookkeeping duties, managing and reconciling accounting software
(Big Red Cloud) monthly submissions
* Maintaining Pobal quarterly financial impact returns
* Ensuring all bank statements are updated in accordance with
outgoings and incomes by recording on this on the Big Red Cloud
* Ensuring compliance and processing National Childcare Returns on a
weekly basis
* Advising parents/guardians on enquiries about registration for the
children and giving then the correct information about payments and
guidance on applications
* Ensuring all staff timetable and time sheets are updated on a
monthly basis
* End of year audit preparation and assist with auditor?s queries
* Liaise with Company Treasurer regarding payments and accounts
* IBB payments and maintenance and liaising with banks/credit union
* Filing and managing incoming invoices/notices/receipts
* Coordinate office administration systems and procedures (placing
stationary orders and stock checking)
* Maintaining both a written and digital records of all
children/young people on our books
* Ensuring regular contact is made with parents via email and text
regarding closures, Easter and Summer camps
* Sending monthly invoices to parents and maintaining records of
payments
* Booking day trips/activities and buses etc for camps
* Maintenance and facility requirements
* Provide administration support to Manager and other staff member
if required
* Maintaining contact with suppliers and contractors
* General ad hoc duties
ESSENTIAL REQUIREMENTS:
* At least 2/3 year?s comparable experience in private, public or
voluntary sector
* Strong MS office skills
* Working knowledge of Big Red Cloud software or similar
* Must be extremely organised and have the ability to prioritise
* Good communications and interpersonal skills
* Excellent timekeeping and time management
* Enthusiastic, motivated and positive attitude
* Good writing and editing skills
DESIRABLE REQUIREMENTS:
* A QQI Qualification in Business & Administration Systems
* Knowledge and experience of the NCS/Hive returns system
KEY ASPECTS TO THE ROLE ARE:
* Operation of Big Red Cloud business icloud to update accounts
weekly.
* Preparation of management accounts, financial reporting and cash
flow management.
* To process invoices and expenses for projects.
* Any other accounting/book-keeping duties as necessary.
* Good communication skills are a bonus as is experience in the
voluntary sector.
* The ability to work on one?s own initiative, to have good
interpersonal skills and to be flexible and responsive will be key to
succeeding in this role
